How to get started

When setting up your meeting, insert the URL to your Zoom meeting. Note if you insert the URL of any other meeting provider the app will open it in a new window.

Important:
To make sure you have a good meeting, in Zoom set Enable join before host, this will allow attendees to join the conference without the host being present. If this is not set, you as the host will have to join the meeting through the zoom client from your desktop before anyone can join the meeting.
All your attendees now need to do, is click the Join Conference Call button

We are excited to invite you to our new structured meeting format, building on what we have learned serving-up Lean Coffee online for the last three years.

Whilst Lean Coffee is a simple and very effective format, we spend much more time in ‘traditional’ agenda-based meetings.

Some of you asked us to breathe some life back into this kind of meeting. We have therefore re-imagined this familiar, though tired, format to focus on engagement and active participation of all attendees.

This Beta version is exclusively for LeanCoffeeTable users. We hope it provides you with more benefits and the ability to extend into other parts of your organisation. We are also keen to get your feedback and suggestions in our new Slack channel (see below)

There are many innovative ideas in our product backlog, including integrations with tools like Zoom.  We will be providing you with minor improvements every few days in the months ahead.

Run your first agenda meeting now

To start a new agenda-driven meeting simply click on the ‘New Board’ and you will now have a choice of format (see image below)

This initial version includes everything you need to run a more engaging agenda-driven meeting today. Functionality includes:

 

Co-created agendas

  • The facilitator sets up the meeting and the agenda items
  • Attendees can help build the agenda by adding notes to agenda items before the meeting starts
  • Benefits:
    • The meeting starts with an agenda which better reflects the priorities and interests of the attendees
    • Agenda items are timed and fit the time constraints of the meeting

Real-time notes / minutes

  • Anyone can add notes or actions during the meeting
  • Benefits
    • A more accurate, contemporaneous, record of the meeting witnessed by those attending
    • No delay waiting for the scribe to capture actions and notes
    • Encourages involvement in minute taking and action assignment
    • Includes much more detail than in traditional meeting minutes

Immediate record of the meeting

  • A complete .pdf record of the meeting, including images and links, within seconds of the meeting end
  • Benefits:
    • No delay in circulating the meeting record and therefore less decay in people’s memory and lasting value of the meeting

Other new features

  • Time progression through an agenda item and the whole meeting.
    • Reduces facilitation effort as attendees are more aware and better able to self-manage
  • Rich text agenda field
    • Shows images and links to resources for the meeting e.g.  links to a the sales data in Excel
  • You can fully participate in the meeting, seeing real-time updates without having to stare at the shared scree

New Agenda-based meeting format

Subscribers to Lean Coffee Table will be the first to try our new agenda-based meeting boards, for free.

Many of our global customers have asked for an alternative meeting format for their distributed teams. The new structured meeting type will be highly interactive and visually simple, building on our Lean Coffee Table experience.

Online meetings are an increasingly important part of our time at work and yet they often fail to deliver the benefits they could.  Mainly due to a dull, traditional approach and limited tools.

Our vision is to change this by maximising the engagement and creative contribution of all participants.

We can achieve this using real-time interactivity, enabling multiple-contributions whilst maintaining a clear focus with a simple and pleasing layout.

The agenda-based meeting board will be released in a Beta version and will be free for our LCT subscribers for a limited period. We would love to hear your feedback and suggestions.

In the future we will offer the new meeting format as an optional upgrade to your LCT subscription.

 

The benefits of our new agenda-based meeting board

 

  • Engage attendees with a genuinely co-created meeting, rather than one that is facilitator driven.
    • Simple design maintains a clear focus, with real-time contributions and innovative ways to gauge levels of interest
  • Maximise contributions by:
    • Helping attendees co-create the most engaging agenda by adding notes ahead of the meeting
    • Gathering contributions from attendees during the meeting, as they post links to articles or images to be included in the summary
    • Allowing attendees to write contributions, which were not possible within the agenda time limit.
  • Make it easier for the facilitator
    • Create the minutes and actions in real-time, visible to everyone, then distribute a .pdf of the meeting minutes after it finishes.
    • Manage time with simple time and progress feedback.
    • Copy an earlier agenda for those regular meetings
    • Gauge levels of interest and engagement of attendees with the real-time ‘topic  thermometer’

 

Note: not all these features will be available on the first day.  We are most interested in getting your feedback on the early iterations and so are adopting the principles of an MVP (minimal viable product) to validate our assumptions and to learn as quickly as possible. Luckily, we have 1000s of users like you who will help us to do this.

We are always happy to listen to our users. Feedback suggesting that facilitators did not always remember to set the timer for discussion has led us to introduce a little reminder.

 Now, when you move a topic card into the discussing column, you will be prompted to start the timer. A drop down will enable you to select the length of the initial discussion (up to 10 minutes) and away you go!

Merge topic cards is here!

Many of you have asked for the functionality to merge topic cards to consolidate voting on similar topics. Facilitators will now have the benefit of selecting topic cards and combining these into a new card which will include the original cards’ text and votes.

It’s best to merge any similar topics BEFORE voting, so that attendees do not vote more than once on the combined topic as the merge will  consolidate all earlier votes from the child topics.

To merge topic cards you need to:

  1. Click on ‘Merge’ in a new topic card.
  2. Select the cards in the topic column you wish to merge together by clicking on the central arrow.
  3. Enter text into the parent card and click ‘Merge Topics’ (Note: You cannot merge until you have entered text into the new ‘Parent’ topic)

Step 1 – Click on Merge

In the Topic column view, click on ‘Merge’ at the bottom right of a new topic card.

Click Merge

Step 2 – Select topic cards

Highlight the topic cards you wish to combine by clicking on the tick in the centre of each card. Click once more to deselect.

Step 3 – Type text into the parent card and click Merge Topics

Add text to the new parent topic card and click ‘Merge Topics’. All votes will be combined and the number of child topics will be displayed in the top right hand corner of the parent.

By clicking the number in the top right hand corner of the new parent card you can see the text and votes assigned to the original topics cards.
Please note:

  • Attendees who voted on the  original cards may  remove their vote from the parent card if required.
  • The topic cards merge is not reversible so please be sure to select the correct topics to merge.
  • Merge cards may be used even after discussion if you realise  you have already discussed something that has been entered into a different topic card.

The Lean Coffee Table team, as part of RippleRock Ltd. is very proud to announce we are now certified to the international gold standard of ISO27001:2013.

We invested our time in achieving this so that we can provide added reassurance to you, our clients. It turned out to be a valuable process, helping us to examine and explicitly define and improve some of our internal processes.

You want to know that your Lean Coffee sessions and data are safely stored, and we trust that the new ISO certification, together with the frequent penetration testing we undertake will provide you with that confidence.

Over the last year we have found ourselves completing long questionnaires for some larger clients who have a detailed Information Security criteria and an established purchasing process. ISO27001 should lower the bar to purchasing Lean Coffee Table by helping our customers ease the path through their due diligence processes.
